Job Posting - Office Administrator

Kits House is looking for a senior level Office Administrator who will provide a broad spectrum of operational support to ensure the smooth functioning of our Neighbourhood House.

Key Areas of Responsibility

Office Management

  • Plan, co-ordinate and oversee all office services, such as office supplies and equipment
  • Plan, co-ordinate, implement and manage Kits House technology needs, such as computer network/database system, telephone and internet services
  • Supervise front office staff


Financial Management

  • Administer and manage all finance related activities at Kits House, including invoicing, bank deposits, petty cash, automatic payments, payroll, A/P and A/R
  • Assist in preparing month-end and year-end Neighbourhood House financial statements


Human Resources Management

  • Orient, train and supervise office support staff
  • Provide interpretation to office support staff regarding HR policies and procedures and general employment related legislations, including Employment Standards, WCB and Human Rights


Records Management

  • Set up and maintain filing system, include classifying, storing and safe disposing of records
  • Collect and maintain staff employment records, such as employment letters, timesheets, performance appraisals, emergency contacts
  • Manage and maintain an in-house system to track balances of vacation, sick leave and other types of leaves, employment anniversary dates for wage increases and benefits; inform and reconcile these records with Central Office
  • Maintain program stats data base


Qualifications Required

  • Post secondary education in a related field or equivalent experience
  • Ability to develop and use Excel documents
  • Experience using, creating and reporting using a database
  • Experience with Accpac or other accounting software
  • Experience preforming standard office accounting procedures including accounts receivable, accounts payable, bank deposits
  • Successful experience managing an office team
  • Proven ability to train and orientate office support staff
  • Knowledge of the Neighbourhood House Model of Service Delivery and/or willingness to learn
  • Excellent communication skills both verbal & written
  • Able to interact with persons of various social, cultural, economic and educational backgrounds
  • Skilled at negotiating, exchanging ideas, opinions and information with others and in working as a collaborative member of a diverse team
  • Strong organizational skills with attention to details and follow through and the ability to handle multiple priorities


Job Details

Full time permanent position

18.32 – 20.39/hr – plus comprehensive benefit package
